Privacy Policy

Privacy Policy:

This policy applies to employees (full-time and part-time), and Event participants (“customers”) whose personal information is collected prior to or during the event.

In compliance with the Federal Personal Information Protection and Electronics Documents Act (PIPEDA), TrojanOne obtains informed consent from all employees and customers for the collection, use and disclosure of their personal information for defined purposes. This consent may be withdrawn, in writing, at any time.

Rationale:

Private sector privacy legislation requires organizations to build privacy policies that outline how they collect, use and disclose their customers’ personal information. In addition, at TrojanOne we believe in establishing trust with both employees and customers.

Procedure:

The Manager of Finance is our “Privacy Officer”

Employee Procedure:

  1. When the employee is hired, the TrojanOne Employee Consent to Collect, Use and Disclose Information is reviewed.
  2. Signature is requested.
  3. If consent is not provided the impact is explained.
  4. Exemptions can be granted by the Privacy Officer.
  5. Consent can be withdrawn in writing (e-mail). Requests should be made to the Privacy Officer.

Customer Procedure:

  1. Approaches to obtaining customer consent will vary with the Program and Client. Despite these variations the following must occur.
  2. The wording in the Customer Consent to Collect, Use and Disclose Information must be captured in the form being used (paper or web based).
  3. Approach to obtaining consent is reviewed by the Privacy Officer.
  4. If consent is not provided the impact is explained.
  5. Consent can be withdrawn in writing (e-mail). Each Program needs to determine to whom these requests are made.
